1. Introduction

The Nairobi Summit on a Mine-Free World, the First Review Conference of the 1997 Mine Ban Treaty, will be held at the United Nations Office at Nairobi (UNON) from 29 November-3 December 2004. The Summit is a pivotal event in the life of both the Mine Ban Treaty and the civil society movement against landmines. Over 200 ICBL campaigners will participate in the Review Conference as observers.

2. Registration

The ICBL's registration deadline was 30 September. Registration is now closed. If you have outstanding circumstances and have not yet registered, please contact nairobisummit@icbl.org.

If you have not done so already, please provide us with your arrival and departure date, time, flight numbers and passport details. Please send immediately to nairobisummit@icbl.org

3. Visas

Participants are responsible for applying for all visas needed to travel to and enter Kenya. Kenyan visas will be issued free of charge at Kenyan missions abroad and at the airport upon arrival in Nairobi. The Kenyan Ministry of Foreign Affairs has issued the ICBL a Kenyan visa waiver letter. Transit visa fees will not be waived. All sponsored ICBL participants and non-sponsored participants coming from regions other than Europe and North America have received this waiver letter by email and fax.

4. Hotels

The ICBL has made block bookings at the Panafric Hotel, Anglican Guesthouse and Fairview Hotel in Nairobi. All hotels are located within easy walking distance of each other. Sponsored guests will be staying at the Panafric Hotel or the Anglican Guesthouse. If you would like the ICBL to book your hotel room and have not already indicated to us that you need a room reservation, please email nairobisummit@icbl.org. We will do our best to accommodate your request. All rooms at the Fairview Hotel are booked and we have around 5 rooms left at both the Panafric Hotel and the Anglican Guesthouse. All participants with hotel bookings will receive confirm of their booking shortly by email.

For sponsored guests: Please keep in mind that you will be asked to share a room with another campaigner of the same gender. The ICBL will cover the cost of your room but you must pay for all extra costs including telephone calls, Internet access, mini-bar, laundry, etc.

For non-sponsored guests: The hotels have been notified that you are covering your own costs. If you wish to book your own room at a different hotel, you may find details of various other Nairobi hotels here.

5. Transportation

To/ from Airport: Airport transportation arrangements will be confirmed shortly and details will be sent to all participants in advance of the Nairobi Summit. Taxi service is available from the Jomo Kenyatta International Airport (JKIA) to all hotels. Book a taxi at the booths in the arrivals section of the airport. Arrange a price before entering the cab.

Local Transportation: Information on transportation to/ from the conference venue will be provided shortly. Participants are urged to take taxis in Nairobi and to avoid buses and matatus (mini-vans). Taxis can be hired in front of all hotels and at the conference venue. Do not flag taxis on the street.

6. Venues

The Nairobi Summit will be held at the United Nations Office at Nairobi (UNON), located approximately 10km outside Nairobi. UNON is located in Gigiri on United Nations Avenue. Side events and activities will take place at venues throughout Nairobi:

Venues are all well-known city landmarks and should be very easy for taxi drivers to locate.

7. UN Passes

All Nairobi Summit participants require official UN passes to enter the conference venue. Information about where to pick up UN passes will be provided shortly.

8. ICBL Activities

The ICBL Orientation Meeting will take place on Saturday, 27 November from 15:00-17:00 at the Panafric Hotel. We encourage all campaigners and researchers to participate in this meeting to prepare for the week's events.

ICBL morning briefings will be held from 29 November - 3 December from 9:00-10:00 at UNON. All campaigners are urged to fully participate in these important daily briefings. They provide an opportunity to strategize and organize lobbying activities, to report on activities and efforts, to review events from the previous day, to make announcements and to prepare for the current day of activities.

On 4 December, from 9:00-17:00 at the Panafric Hotel, we are holding "Wanted! ICBL 2009 Action Plan." The meeting will help chart the campaign's path forward to 2009 by developing an updated campaign action plan.

To celebrate at the end of a very full week we are planning a campaign celebration at the Panafric Hotel for the evening of 4 December. Bring a food or drink from your country to contribute and come prepared to kick back, eat, drink, dance and have some fun!

9. Schedule of Events

10. Meeting Rooms

If you would like to organize a working group, regional or thematic meeting before, during or after the Summit, and have not yet made the booking, please contact Liz Bernstein ( banemnow@icbl.org) by 1 NOVEMBER with the details of your event. Please be sure to refer to the updated schedule of events prior to selecting a date/time. In your email, please include the following:

  • Name of Event
  • Date of Event
  • Start time and end time of Event
  • Number of expected participants (total number of people in the room, including facilitators, staff, participants, etc.)
  • Participants: Is your event closed (invitation only), semi-open (fairly open but still exclusive issuing of invites), or open to all?
  • Is it open to media? Do you want it listed in the ICBL media list of events?
  • Equipment required: please be very specific regarding your needs (i.e. Powerpoint projector, screen, flipcharts, etc.)
  • Preferred venue (i.e. in the UN, outside the UN)
  • Fees: while there is no fee for the use of the rooms at the UN, there are costs associated with equipment rental. Meeting rooms at hotels may have rental fees associated if not catering is booked. Room rental and equipment price lists will be circulated as soon as details are available. There will be one ICBL invoice for all equipment needs and we will then invoice you separately afterwards.

Please note that many bookings have already been made, and additional rooms can only be provided based on availability. There will undoubtedly be several events scheduled simultaneously, and we cannot guarantee, though will make every effort, a suitable room for your event.

11. Materials and Exhibitions

Many of you may wish to bring resources and/or exhibitions to Nairobi. Please indicate on your online registration form what resources you intend to bring with you. To book exhibition space, please contact Mereso Agina of KCAL at kcal@africaonline.co.ke by 1 November.

Information about how and where to ship resources to Nairobi and associated customs and fees will be provided shortly. Please contact nairobisummit@icbl.org for more information.

12. Translation

The UN will provide translation for all six official UN languages during official Summit meetings. For non-English-speaking campaigners, we will rely on your fellow campaigners and outside assistance when needed to provide translation during other ICBL activities and side events. If you have any questions about the translation that will be provided, or are willing to offer your services to help translate, please contact nairobisummit@icbl.org.

13. Communications

Telephone, fax and email connections in the ICBL Office at UNON will solely be for official use by ICBL staff or for official ICBL business with prior approval by a staff member. However, there are numerous communications options:

Mobile Phones

  • SIM cards for unlocked GSM mobile phones can be purchased in Nairobi for approximately 300 KSH ($3.70 US).
  • Mobile phones can be rented for 200-500 KSH ($2.50-6.25 US) per day.
  • We recommend using the SafariCom phone company (better rates).
  • Phone cards in denominations from 100-10,000 KSH can be purchased at stores throughout Nairobi and at the Panafric and Fairvew Hotels.
  • Note: International calls cost between 115-205 KSH ($1.45-2.56 US) per minute.
  • If you would like the ICBL to rent a telephone or purchase a SIM card or pre-paid telephone cards for you, please contact nairobisummit@icbl.org. The ICBL will bill each campaign member organization separately for mobile phone-related charges.

International Calling Cards

International phone cards may be purchased at all post offices and many stores throughout Nairobi and come in denominations of 200 KSH, 500 KSH, 1000 KSH and 2000 KSH. They may be used with pay phones, hotel phones and mobile phones. International rates depend on the country called and average 141 KSH ($1.76 US) per minute.

Email

  • UNON: Internet services are available at the Internet Café located behind the Delegates' Lounge on the Lower Concourse.
  • Panafric Hotel: Internet is available at the Cyber Flame Business Centre, open Mon-Sat from 7:00-22:00 and on Sun from 7:00-18:00. Dial up service is available in deluxe rooms.
  • Fairview Hotel: -Internet is available at the business centre, open Mon-Fri from 8:00-21:30 and weekends from 8:00-17:00. Dial up service is also available in rooms.
    Internet Cafés: Internet cafés are located throughout Nairobi. Recommended cyber cafés are listed below:

14. Reimbursements - for ICBL sponsored guests only

Please provide your full travel details and estimated travel costs by entering them into your online registration form now, and no later than 1 NOVEMBER. If you have not yet done so, please send immediately to nairobisummit@icbl.org We must have your estimated travel costs by this date or we cannot guarantee reimbursement in Nairobi.

We will be issuing per diems and travel reimbursements throughout the week. An accounting schedule will be available shortly.

Per Diems

  • To receive your per diem you must provide the ICBL with a photocopy of your plane ticket and the original copy of all other travel receipts. We cannot provide reimbursement for expenses without receipts.
  • Once we receive your receipts your per diem will be issued. The per diem rate is $25 US per day/ $13 per half day.

Reimbursements

  • The ICBL will reimburse the following costs: economy round-trip plane ticket to Nairobi, local transportation to/ from the airport in country of origin, airport departure taxes and visa expenses.
  • The ICBL will directly cover the cost of accommodation in Nairobi.
  • The ICBL will NOT cover these costs: travel insurance, additional expenses in hotel rooms such as laundry, mini bar service, telephone calls, faxes, taxi fares or for extended stays before or after the meetings.

If you must spend a night in transit at a hotel you should confirm with us in advance. For expenses during travel such as meals during layovers, the ICBL will reimburse up to the equivalent of one day per diem for meals on a case-by-base basis.

15. Quick Facts

  • Weather: Average temperatures in Nairobi in November/ December range from 16-25° C. The short rainy season ends in early December - bring an umbrella!
  • What to Wear: Light, loose cotton clothing. Kenyans tend to dress conservatively, especially in rural areas. Tank tops, shorts and short skirts are generally not recommended. Knee-length or longer skirts, trousers, T-shirts and long-sleeved shirts are preferred.
  • Local Time: GMT +3 hours.
  • Language: Kenya's official languages are English and Kiswahili.
  • Business Hours:
    • Offices and businesses: 8:00-17:00, Monday to Friday and 8:00-14:00 on Saturday. Many stores close on Sunday.
    • Diplomatic missions, government offices and the United Nations: 8:00-17:00 and 8:00-14:00 on Fridays
    • Bank hours: 9:00-15:00, Monday to Friday
  • Currency: The currency used in Kenya is the Kenyan Shilling (KSH). Notes are issued in denominations of KSH 1000 (brown), KSH 500 (green), KSH 200 (blue), KSH 100 (purple) and KSH 50 (blue and maroon). There are 40, 20, 10, 5 and 1 KSH coins. Most foreign currencies and traveller checks can be changed at banks, hotels or currency changers. All major credit cards are widely accepted throughout Nairobi and automated teller machines (ATMs) are located throughout the city and accept both Cirrus and Plus cards.
  • Exchange Rates as of 24 September 2004
    • US $1= 81 KSH
    • 1 Euro= 99 KSH
  • Electricity: The electric system is 240 Volt AC. Plug sockets are the three-pronged variety used in the UK. Carry adaptors with you or you can purchase them for around 500 KSH ($6.25 US) at any major Uchumi or Nakumatt grocery store (located on Ngong Rd, in the City Centre and in Westlands). Electronic stores in the Yaya Centre, Sarit Centre or Village Market malls also sell adaptors.

16. Safety

Nairobi has the unpleasant nickname "Nairobbery" for a reason! Take care to keep you and your valuables safe.

Things to do

  • Do not carry large sums of cash.
  • Carry a photocopy of your passport with you at all times and leave your passport and documents in the hotel safe.
  • Leave valuables in the hotel safe.
  • Travel in groups at all times.
  • Be alert and attentive to your surroundings at all times.
  • Carry a list of emergency contacts with you.

Things to avoid

  • Do not walk alone.
  • Do not hail taxis on the street. Hail them at hotels or by phoning reputable companies.
  • Stay out of Uhuru Park (close to hotels) after dark.
  • Only withdraw money from ATMs during daylight hours at locations inside banks. Do not withdraw money for ATMs on the street.
  • Avoid wearing jewellery, expensive watches or displaying any signs of wealth.
  • Keep your camera out of sight in public places.
  • Do not walk around Nairobi at night, even if with other people.

ICBL is not responsible for any loss, damages or injuries incurred.

17. Health

All visitors to Kenya coming from infected areas require a yellow fever vaccination certificate to enter the country. A list of yellow fever infected countries is available online. Visitors should be vaccinated at least 10 days prior to departure.

The following vaccinations are not required to enter Kenya, but are recommended by the World Health Organization: Hepatitis A, Yellow Fever, Tetanus, Polio and Typhoid.

A few tips for avoiding uncomfortable stomach problems:

  • Do not drink the tap water (buy bottled water instead).
  • Do not eat fruits sold at road-side markets unless you are able to peel them yourself.
  • Try to avoid salads unless in an upscale restaurant.
  • Avoid shellfish as it can carry Hepatitis A.
  • Order beverages without ice cubes.
  • Beware of ice cream sold in the streets that may have melted and then refrozen.
