Logistics

Dear Campaigners,

The 8th Meeting of the States Parties will be held at the King Hussein Bin Talal Convention Center by the shores of the Dead Sea, Jordan, from 18 to 22 November 2007.

Below you will find important logistical information for campaigners and researchers participating in the meeting. Please do not hesitate to contact us at icbl@icbl.org if you have any questions.

1.) Introduction

At the 18-22 November 2007 Eighth Meeting of the States Parties (8MSP) in Jordan, the international community will gather in the Middle East for the first time to discuss the problems caused by anti-personnel mines and the solutions proposed by the Anti-Personnel Mine Ban Convention.

His Royal Highness Prince Mired Raad Zeid of Jordan will preside over the 8MSP, which will be held at the King Hussein Bin Talal Convention Center by the shores of the Dead Sea and approximately 40 km from Amman.

2.) Registration

All ICBL delegates must register online with the Jordan National Committee for Demining and Rehabilitation (NCDR) by 1 October 2007. For more information on how to register with the NCDR please go to Registration.

In addition ICBL Sponsored Participants must register with the ICBL by filling out the ICBL Registration Form and send it to Daiana Savage at: savage@icbl.org by 1 October 2007. Please click here to download the ICBL Registration Form.

3.) Visas

In all cases a visa is required to enter Jordan. When registering with the NCDR all 8MSP participants may obtain a visa online and free of charge before travelling to Jordan.

Transit Visas

Participants are responsible for applying for all transit visas required to travel to Jordan. For those transiting through a European country, please note that a Schengen Visa is required. Should you need a transit visa, we suggest you apply for it immediately and bring the ICBL official invitation to the 8MSP from the United Nations as well as your personal ICBL invitation letter to the 8MSP with you when applying for visas.

4.) Accommodation

  • ICBL sponsored participants

Due to budget constraints, and in order to offer as many campaigners as possible the opportunity to participate in the 8MSP, sponsored participants may be asked to share their room with another campaigner of the same gender. If you would prefer to be in a single room, the ICBL will cover the costs for a shared standard double room, and you will be responsible for covering any additional costs. All participants are responsible for paying any extra costs including telephone calls, internet access, mini-bar, laundry, etc. Please send your travel details as soon as possible and no later than 1 October 2007 to savage@icbl.org.

  • ICBL non-sponsored participants

The National Committee for Demining and Rehabilitation (NCDR) has negotiated special rates and blocked a limited number of rooms at all the hotels at the Dead Sea, as well as at some hotels in Amman. In order to benefit from the preferred rates, non-sponsored participants must make their reservations by filling out the appropriate on-line Hotel Booking form when registering for the 8MSP. Special conference rates and assured availability will be lifted on 1 October 2007. Therefore, make sure that you reserve your room before this date.

5.) Transportation

Arrivals
All 8MSP participants will be met at the airport by representatives of the 8MSP-Jordan Team and will be transported to selected hotels. This service will be available from 16th November to 18th November. Unless otherwise agreed, participants arriving before or after these dates will need to make their own arrangements for transportation from the airport. Special transportation for persons with disabilities will be made available upon request.

Departures
Transportation from the selected hotels to the airport will be provided from 22nd November to 24th November. Unless otherwise agreed, participants departing before or after these dates will need to make their own arrangements for transportation to the airport.

Transportation during the 8MSP
All 8MSP participants will be transported from the selected hotels to the King Hussein Bin Talal Convention Center and back daily from 17th November to 22nd November.

  • Sponsored Participants

Sponsored participants arriving before 16th November and departing after 24th November, may contact Daiana Savage at savage@icbl.org for special transportation arrangements.

6.) Venues

The venue of the 8th Meeting of the States Parties to the Mine Ban Convention is the King Hussein Bin Talal Convention Center by the shores of the Dead Sea and approximately 40 km from Amman.

7.) ICBL Activities

  • Orientation Session:

The ICBL Orientation Session will take place on Saturday 17th November from 14:00 to 15:30 by the Dead Sea (venue TBC). We encourage all campaigners and researchers to participate in this meeting to prepare for the week’s events.

  • ICBL Morning Briefings:

ICBL Morning Briefings will be held daily from 18 to 22 November from 09:00 to 09:55 at the King Hussein Bin Talal Convention Center by the Dead Sea. All campaigners are urged to fully participate in these important daily briefings. They provide an opportunity to strategize and organize lobbying activities, to report on activities and efforts, to review events from the previous day, to make announcements and to prepare for the current day of activities.

  • Advisory Board Meeting:

Please note that the ICBL Advisory Board meeting (for AB members only) has been postponed to FRIDAY 23 NOVEMBER from 10:00 to 12:00 and will now take place in Amman (venue TBC). We encourage all Advisory Board members to participate in this meeting.

  • "Success in Progress" Campaign Meeting:

The ICBL "Success in Progress" Campaign Meeting will be held on Friday 23 November from 14:00 to 18:00 in Amman (venue TBC). All campaigners are urged to fully participate in this important meeting which will provide the opportunity to strategize and organize will help chart the campaign’s path forward for the coming years.

  • "Success in Progress" celebration:

To celebrate the 10th Anniversary of the Mine Ban Convention and the end of a very full week, the ICBL is planning a campaign celebration for the evening of Friday 23 November starting from 18:30 in Amman (venue TBC). Come prepared to kick back, eat, drink, dance and have some fun!

  • SIDE EVENTS:

The ICBL encourages members to organise side events around the 8th Meeting of States Parties. It also helps coordinate the organisation to ensure places are booked, material is available and time is fixed.

If you are planning to organise a Side Events please fill out the ICBL Side Events Form and send it back to Daiana Savage at savage@icbl.org by 31 August 2007.

9.) Translation

All major meetings will be translated in the official UN languages. For non-English-speaking campaigners, we will rely on our fellow campaigners and outside assistance when needed to provide translation during other ICBL activities and side events. If you any questions about translation that will be provided, or are willing to offer your services to help translate, please contact Daiana Savage at savage@icbl.org.

10.) Reimbursements – for ICBL sponsored participants only

  • Please provide your full travel details and estimated costs before by filling out the ICBL Registration Form. We must have your estimated travel costs by the 1 October 2007 or we will not be able to guarantee reimbursement in Jordan.
  • We will be issuing per diems and travel reimbursements throughout the week.

Per Diems:

  • To receive your per diem you must provide the ICBL with your boarding pass, a photocopy of your plane ticket, and the original copy of all other travel receipts. We cannot provide reimbursement for expenses without receipts. Once we receive your receipts, your per diem will be issued. Per diems will be provided in Jordanian Dinar.

Reimbursements:

  • The ICBL will reimburse the following costs: economy round-trip plane ticket to Amman, local transportation to/from airport in country of origin, airport departure taxes and transit visa expenses.
  • The ICBL will directly cover the cost of accommodation in Jordan.
  • The ICBL will NOT cover these costs: travel insurance, additional expenses in hotel rooms such as laundry, mini bar service, telephone calls, internet, faxes, taxi fares or for extended stays before or after meetings.
  • If you must spend a night in transit at a hotel you should confirm with the ICBL in advance. For expenses during travel such as meals during layovers, the ICBL will reimburse up to the equivalent of one day per diem for meals on a case-by-case basis.
