I. Provisional Schedule

MINE BAN TREATY INTERSESSIONAL STANDING COMMITTEE MEETINGS (MBT ISC)

Recommended dates are arrival in Geneva on Sunday 19 June 2011 in the morning at the latest and departure on Saturday 25 June 2011 in the morning.

II. Official Website and Registration
The MBT ISC meetings will take place at the World Meteorological Organization (WMO) building in Geneva.

REGISTRATION FOR ALL NON-SPONSORED PARTICIPANTS:

Non- sponsored participants need to register online for the meeting(s) they are attending no later than 13 June 2011:

IMPORTANT:
All ICBL-CMC members must register under the ICBL and CMC delegation. When registering online, please insert the following:

  • Under "Name of organization" please enter "ICBL" for the MBT meeting and "CMC" for the CCM meeting.
  • Under "Department" please enter the name of your organization. E.g.: Mines Action Canada

REGISTRATION FOR SPONSORED PARTICIPANTS:

The ICBL-CMC will register all sponsor participants for the meeting(s) for which they are sponsored. You do not need to register online.
N.B. If you are sponsored for only one meeting but you are covering your participation in the second meeting, you will need to register online for the meeting you are not sponsored for.

III. Sponsored Participants
The deadline for sponsorship applications is now closed and all applicants have been notified with the results of their application.

All sponsored participants shall ensure their flight is booked and apply for their visa as soon as possible. If there is any issue, please contact us immediately.

SPONSORSHIP RULES AND LIST OF COSTS COVERED

Travel costs will be reimbursed in US dollars. When collecting the per diem, sponsored participants must bring their original travel receipts and their boarding passes.

The location and schedule for per diem and reimbursements will be available in the participant handbook circulated in advance of the meetings and distributed during the campaign orientation meetings.

  • Economy round-trip plane ticket to Geneva and transportation to and from the airport in the home country (see practical information for transportation in Geneva)

IMPORTANT: Upon confirmation of sponsorship, participants will receive flight options directly from Diversity travel agency. If you wish to book your flight locally, please send your booking and quotation to Isabelle at isabelle@icblcmc.org after having received the flight options from the agency. Please take note that the ICBL-CMC will only reimburse up to the rate offered by the agency unless agreed otherwise. If you choose an option sent by the agency, you will receive your electronic ticket by email.

  • Hotel accommodation during your stay in Geneva

The ICBL-CMC will book rooms for sponsored participants at the Hotel Savoy, Hotel Astoria, Hotel International and Terminus, Hotel Montana and Hotel Bernina. Due to budget constraints, and in order to offer as many campaigners as possible the opportunity to participate in the meetings, sponsored participants may be asked to share a room with another campaigner of the same gender. If you would prefer to stay in a single room, the ICBL-CMC will cover the cost of a shared standard double room, and you will be responsible for covering the additional charges. The ICBL-CMC will NOT cover extended stays and additional expenses in hotel rooms such as laundry, mini bar service, internet, telephone calls, faxes, taxi fares, etc. Participants are kindly asked to settle their bills for the extra costs at the hotel upon departure.

  • Per diem during your stay in Geneva and during transit

Per diem will be paid in Swiss Francs. The per diem rate is equivalent in Swiss francs to EUR43.65 (actually around 55 CHF) per day and half of the per diem will be paid for arrival after 12h00 and departure before 12h00. Please note that per diem will only cover the period recommended and it is subject to flight availability. Participants will have to arrange and cover hotel and incidental costs for additional days.

  • Visa and transit visa costs
  • Airport taxes and fees
  • Overnight costs if necessary

If no direct flight is available, transit accommodation can be booked with Diversity agency or will be reimbursed if the participant has booked it. Transit hotel bookings must be approved by ICBL-CMC before confirmation. Please send your booking and quotation to Isabelle at isabelle@icblcmc.org

IV. Visa Information

Participants are responsible for applying for all visas required to travel to and enter Switzerland. If you need a visa to enter Switzerland or a transit visa, please apply for it immediately. Please note that Switzerland is now part of the Schengen area.

The ICBL-CMC has sent an invitation letter to all selected sponsored participants and will send an invitation letter to non-sponsored participants upon request.

V. Accommodation in Geneva

NON-SPONSORED PARTICIPANTS
Non-sponsored participants are responsible for making their own hotel arrangements. Please note that hotel room availability is very limited during the month of June in Geneva. We strongly recommend that you book your accommodation as soon as possible. You will find below a list of recommended hotels in addition to the hotels listed under "sponsored participants". Rates may vary from 160CHF to 250CHF per night for a single room, and from 170CHF to 280CHF per night for a double room. Most hotels will request credit card information to guarantee the reservation. The ICBL-CMC cannot guarantee reservations for non-sponsored participants.

OFFICIAL VENUE
The MBT ISC and CCM Intersessional meetings as well as the Gender Training will take place at the following venue:

From Cornavin station you may use the following buses/trams:

  • Bus 1 direction "Jardin Botanique" and get off at the stop "Jardin Botanique". The WMO building is on your left side.
  • Tram 13 or 15 direction "Nations" and get off at the stop "Nations". Walk down the hill along Avenue de la Paix (towards the lake) for about 5 minutes. The WMO building is located on the right-side.

CAMPAIGN ORIENTATION MEETINGS
The Campaign Orientation Meetings will take place at the following venue and meeting room:

VII. Campaign Meetings and Events

ICBL CAMPAIGN ORIENTATION MEETING, MAISON DES ASSOCIATIONS, SUNDAY 19 JUNE 2011
The ICBL will organise a campaign orientation meeting on the afternoon of Sunday 19 June 2011.

ICBL MORNING BRIEFINGS, WMO BUILDING, EVERY DAY FROM 20 TO 24 JUNE FROM 09:00 TO 10:00
The ICBL will organise a morning briefing every day throughout the conference from Monday 20 to Friday 24 June 2011, from 09:00 to 10:00 at the WMO building.
All campaigners are urged to fully participate in these important daily briefings which provide an opportunity to strategize and organize lobbying activities, to report on activities and meetings, to review events from the previous day, to make announcements and to prepare activities for the current day.

GENDER TRAINING, WMO BUILDING, FRIDAY 24 JUNE 2011
A Gender training will take place on the afternoon of Friday 24 June 2011. The training will be open for all campaigners and will focus on gender aspects of Victim Assistance. Please note registration will be required to attend the training. Further information will be sent at a later stage.

VIII. Side Events and Materials

SIDE EVENTS
The official venue offers limited space for side events during lunch time. Therefore, we will need to ensure coordination among campaigners who are planning to organize side events and encourage joint side events on the same topic.
The deadline for side event requests has now passed. If you have any questions or enquiries about side events, please contact Isabelle Wippermann by email at isabelle@icblcmc.org.

MATERIALS
Campaign and lobbying materials will be available at the conference and distributed in advance.
If you wish to send materials to the conference in advance of the meeting, display materials at the conference or have printing requests or needs, we kindly ask you to contact Clemence at clemence@icblcmc.org.

IX. Transportation and Practical Information

ARRIVAL AND GETTING AROUND IN GENEVA
Participants are responsible for their own transportation to the hotel and to the meeting venues. Please note that Geneva has a very efficient public transportation system.
From Geneva airport you can take the bus number 10 or the train to Geneva Cornavin station (city centre) where most hotels are located. Please note that all trains leaving the airport stop at Geneva Cornavin station.

  • All passengers arriving at Geneva airport can pick up a FREE ticket for public transportation at the distributor in the baggage collection area at arrivals. This ticket, offered by Geneva International Airport, allows you to use public transportation in Geneva for free during a period of 80 minutes.
  • All hotel guests will then receive the "Geneva Transport Card" allowing free access to public transportation: Geneva Hotels offer a "Geneva Transport Card" to their guests for the whole duration of their stay. You may collect your card at the hotel reception upon check-in. This card is free of charge.

N.B.: Please visit the Geneva Public Transport website (www.tpg.ch) for more detailed information on transportation or to look for your itinerary within Geneva.

ACCESSIBILITY
More than half of the trams and buses in Geneva have step-free access. All new vehicles are equipped with an easy maneuverable ramp for wheelchair users. Accessible taxis are available at the airport arrivals.
Accessible transportation between venues will be organised during the meetings. If you have specific requirements for accessible transportation on arrival and during your stay, please indicate them clearly in the sponsorship application form or inform Clémence at clemence@icblcmc.org.

TAXIS
Taxis in Geneva can be ordered by phone, hailed in the street or found at about 60 authorised taxi ranks in town, at the airport and at the main station.
Fares between airport and city range from about CHF 30 to CHF 35 and depend on traffic conditions, time of day and number of passengers. Presently, the fare within Geneva, including airport, is the amount shown on the taximeter.
The driver will request a small extra charge for luggage. Tip and VAT are included in the taxi fare.

INTERNET AND TELECOMMUNICATION
Free internet access is available in most hotels and at the official venue.
The country code for Switzerland is +41 and the city code for Geneva is 022.

CURRENCY, TAX AND TIP
The local currency is the Swiss Franc (1 CHF is equal to approximately US$1).
Money can be exchanged at the airport, banks or exchange offices. Credit cards are widely accepted and ATM machines are available downtown.
The Value Added Tax (VAT) is included in the price in stores and restaurants. The service charge is usually included in the bill of bars and restaurants. It is recommended to leave a small tip according to level of satisfaction in restaurants.

LANGUAGE
Switzerland has three official languages (German, French and Italian) and four national languagues (German, French, Italian and Rumantsch). Geneva is located in the French-speaking region.

WEATHER AND TIME
Summers (June to September) are pleasantly warm to hot in Geneva with an average temperature between 22°C and 25°C. Time-zone is GMT+1
